Pointer Profiles in EmailPointer can be shared with other EmailPointer Users via automatically generated emails. If configuration details are changed, such as the Server URL, Location on the Server, Property Management items, etc. the Shared Profiles can also be updated using the same process.
Sharing Profiles
To share a Pointer Profile, open the context menu for the Pointer Profile you wish to share by right-clicking on its name and select the “ Share Pointer Profile” option.
This will open a new email window in Outlook, with only the Sender email address (“From”), and the Shared Configuration information in the body of the email.
This allows the review of the Pointer Profile information seen in the small black text highlighted below the Pointer Profile name.
The first line in this information contains the Type of Pointer, the Server URL, and the Location the Pointer points to. The second line displays the file and folder viewing options, the third the Pointer ID. The last line contains Property Management information, for converting metadata properties between different information sources.
Additional Pointer Profiles may be shared in the same email by navigating back to the main EmailPointer window in Outlook and right-clicking and selecting “Share Pointer Profile” on an additional Pointer.
This will insert the information for the additional Pointer Profile at the top of the list of Shared Pointer Profiles, beneath the “WesternIM’s EmailPointer: Shared Configuration” Title.
Add the email address of the person(s) the Pointer Profile is to be shared with as well as Cc’d recipients, a subject line, and any additional information in the Body of the email as required before sending.
Receiving and Loading Shared Configurations
EmailPointer will automatically detect the Shared Configuration Email upon its receipt, and check if there are new or updated Pointer Profiles. As the example is sending the same profiles to itself, there is no new information and EmailPointer will notify you that everything is already loaded onto your copy of EmailPointer.
If there are new or updated Pointer Profiles detected, the Load Shared Configuration page will open in EmailPointer. If a Shared Pointer Profile is new, a blue plus button () will appear at the right side of its name. If the Shared Pointer Profile already exists but has updated information, there will be a blue check mark () instead. Varying combinations are shown below:

If multiple Pointer Profiles have been shared, they will be displayed in the same order as they appear in the email. Also, note that there is green check mark with a grey check mark shadow () button at the bottom right of the page. This is the Load All Configurations button, which will load all new and/or updated Pointer Profiles instead of clicking the button next to each individual Shared Configurations. After clicking it once the button will change to a blue check mark () to confirm your choice to add all new Pointer Profiles and apply any updates to existing ones. If only specific Pointer Profiles are desired to be changed, the individual buttons next to each may be used, however this will automatically save them to your Configuration, there is currently no secondary confirmation for adding individual Pointer Profiles.
If you wish to add more of the Profiles or updates at a later time, re-opening the email will activate the Load Shared Configuration page to recheck for new and updated Pointer Profiles and they can be added/updated then.
WARNING: if you have made changes to Pointer Profiles in your configuration the checker will see them as needing to be updated if they were originally sent to you in a different configuration. If you wish to keep your changes do not load all configurations as this will reset all the Pointer Profiles to match the ones in the Shared Configuration Email. Individually select Pointer Profiles you wish to be added or updated and then use the blue x button () at the top right of the page instead of the check mark button to avoid this.
After exiting the Load Shared Configuration page, using the x or check mark buttons or individually selecting all available changes, an information popup will appear notifying you that your Configuration has been updated and saved. This will also appear in the Load Shared Configuration page if you were individually selecting Shared Profiles.
